Organice Explorer is the desktop application that provides all the fundamental document management functionality to create, store, search, retrieve, view, check in, check out, edit and revise documents. The user interface has a Microsoft Outlook look and feel, making it easy to use for everyone. Users can search documents by project structure, by metadata and by full text search.
Organice Explorer integrates with MS Office and Microsoft Outlook and through the CAD integrations it supports various CAD applications, including AutoCAD, BricsCad, Revit and MicroStation. Documents can directly be opened from the Organice Explorer in their native application. Through the Organice toolbar installed in the application, documents can directly be saved and stored into Organice, including reference files in CAD drawings (e.g. XREFs). Organice Explorer lets you map and synchronize the SharePoint metadata with the title block attributes in the CAD drawing or with the document properties of Office documents.
Creating new documents can also be initiated from the Organice Explorer whereby templates can be used for specific document layouts such as drawings, letters, faxes and e-mail. Furthermore documents from the Windows explorer can easily be stored into Organice using drag and drop.
Organice Explorer has an integrated viewer to open, view and redline documents without the native application. Over 250 different file formats can be viewed, including compound documents like CAD drawings. Also additional viewers like Adobe Acrobat Reader, Autodesk Design Review and Microsoft Visio can be used to view specific file formats in the most optimal way.

With Organice Scan incoming correspondence and other hardcopy documents can be scanned and stored into the SharePoint document environment, making all documents centrally and digitally available to all users. Hardcopy documents can first be registered and then scanned, or first scanned and then moved into the SharePoint environment.
When documents are first registered, the Scan extension in the Organice Explorer is used to enter the appropriate metadata of the document. Through the registration process a user defines exactly where the document needs to be stored in SharePoint.
During registration, a scan coversheet is created and printed. This coversheet includes a code with the SharePoint information about the document. The document is scanned including the coversheet. After scanning, the document and coversheet are interpreted using OCR. The scanned document is converted into a searchable PDF file, and the document is automatically stored in the correct location in SharePoint. Users can retrieve the document by metadata or by a full text search.
It is also possible to first scan all documents into a central SharePoint location and then moving them to the correct project libraries and adding the proper metadata. If needed it is possible to reference in the metadata to the physical location where the paper document is still kept.
Organice Scan can be used in combination with any scanning device, including small format and wide format scanners, standalone scanners and multifunctional devices. Scanners can be locally available or centrally in a mailroom, print room or at a reception desk.

The Organice Solution Accelerator accelerates the engineering document management implementation by automatically deploying the necessary SharePoint and Organice settings and tools. A site provisioning tool helps project managers to easily create new project sites, without the need to involve SharePoint experts. The included site templates are based on best practices and provide an efficient project environment to manage project documents and collaborate with project partners.
The site templates include predefined items, like libraries, content types, document types, document statuses and views. The site templates automatically prepare new project sites for advanced Office integration, document numbering and reporting. If needed, sites are automatically enabled for Organice Transmit, to manage and control document distribution with transmittals, and for Rule Based Item Security.
In addition to the implementation accelerator, the OSA includes valuable additional functionality to enhance the SharePoint document management solution, like Document Numbering, Rule Based Item Security and preparation for Cross Document Library Reporting.
Document Numbering can be used to automatically generate document numbers according to company standards.
With Rule Based Item Security it is possible to configure the security of an item based on rules related to its metadata, like document type or status. The value of the metadata field defines which users have access to this item.
The OSA prepares sites and site collections for Cross Document Library Reporting. Reporting is based upon Reporting Server (SQL Server) in combination with the Enesys RS Data Extension.
