Organice Transmit

Organice Transmit distributes multiple documents efficiently to multiple recipients at once and offers management information to document controllers who need to keep track of transmittals. A distribution matrix specifies exactly which recipient needs to receive which documents, and how many (in case of hardcopy). Furthermore it specifies if the recipient needs to receive the documents printed on paper or digitally.

The document distribution matrix is created within the SharePoint environment where both documents and recipients are stored and managed. For each recipient a transmittal letter is automatically generated in the recipient’s own language, listing the documents and the number of copies. The transmittal letter can easily be customized to fit corporate identity standards.

In SharePoint a distribution tracking list keeps track of who received what and when. Per recipient, a task can be specified, for instant if the recipient needs to approve the documents or needs to revise them. A deadline can be set for these tasks, and through SharePoint reporting, it can be checked if the recipients met the deadline. When documents are updated, Organice Transmit automatically notifies the document controller which recipients need to receive the updated documents.

Recipients can receive documents printed on paper or digitally. If digitally, documents can be burned on CD or send by e-mail, with either the attached documents or with the hyperlinks to the documents in SharePoint. To print documents, Organice Transmit can be integrated with 3rd party print applications for both in-house printing and for outsourced printing at a reprographer.
